Selection shortcut menu details

The Selection shortcut menu contains commands for working with a selection (batch) of documents. It is only visible when at least one document is selected. To make a selection of documents, select check boxes on the left side of the navigation view. In any navigation view, right-click a selection of documents to display the Selection shortcut menu.

Note    To display the Selection shortcut menu, you must not right-click a document or folder name; otherwise the Document or Folder shortcut menu will appear instead. In other words, right-click when the pointer is an arrow instead of a hand .

The following table briefly describes each command on the Selection shortcut menu. Refer to topics elsewhere in this guide for details.

Selection shortcut menu commands
Command Description

NEW  

Clear Selection

Clears the active selection of documents.

Add Document

Adds a new document in the current folder. The document can be created from a template residing in the vault or from a file you select to upload. For more information, see Uploading documents and Creating documents.

Add Multiple Documents*

Displays a dialog that can be used to upload multiple documents to the current folder in one operation. For more information, see Uploading documents and Creating documents.

<Public Collections>

Selecting a saved search displays its search criteria for editing and execution. For more information, see Configuring a dynamic collection.

<Custom Commands>

Any administrator-defined custom commands that operate on a selection of documents.

Download Selected*

Downloads the latest revisions of the selected documents.

NEW   Compare

Compares the selected documents in the BlueCielo viewer as described in Comparing documents.

Delete

Deletes the selected documents from the vault. For more information, see Deleting and undeleting documents and folders.

Issue New File Name

Issues a new document name based on the naming convention configured for the document type. For more information, see Issuing a new file name.

Build Report

Displays a page listing report definitions from which to select and build a report file based on the selected documents.For more information, see Building a report.

<Workflow Transitions>*

The names of valid workflow transitions for the current status of the selected documents are listed here. The names vary depending on the workflow assigned to the document type. For more information, see Working with document workflows.

<Work Area Transitions>

The names of valid work area transitions for the current status of the work area are listed here. The names vary depending on the workflow configured for the work area. For more information, see Working with work areas.

Preferences

Opens the Preferences page, where you can configure various options. For more information, see Setting personal preferences.

Log Off

Logs off the current user and releases a license. For more information, see Logging off.

* The Enable Office Web Client option must be enabled for these commands.

Note    The commands in this menu are context sensitive, meaning their visibility depends on the current workflow state of the selected document.
